You will be receiving pilates, functional fitness and movement training from qualified instructors of Body Fit Solutions Ltd and Witney Personal Trainers Ltd and other affiliates of these companies.
Body Fit Solutions Ltd is registered with Companies house and VAT registered.
Witney Personal Trainers Ltd is registered with Companies house.
All payments and purchases are done through direct bank transfer, or through our online payment system which is managed by a separate merchant account processor called NETBANX. All payments and programs are non-refundable after 14 days of purchase except for medical emergencies. Any services or credits used before the 14 days will be deducted from the refund. After 14 days Credits can be transferred to family or friends with the same expiry date.
Monthly memberships/contracts are a three month minimum contract when thereafter one month’s notice must be given to cancel the membership, change the terms or move to a different membership rate. This must be in the form of email or letter. Payment will be taken from your set up card every month on the same date.
The studio closes for staff holiday four weeks of the year (two at Christmas, one at Easter and one in the Summer) which has been taken into account when setting up our month passes. We do allow carry over of credits within reason however once memberships are cancelled any leftover credits cannot be used.
Please ensure that if you are attending a pilates class you wear grippy socks and for fitness classes you bring a separate pair of trainers from your outdoor shoes. Please arrive at least five minutes before class. Late arrivals of more than 10 minute WILL be turned away. It is up to the discretion of the instructor earlier than that as to whether it is safe for you to attend with a late arrival.
If you are unable to attend your scheduled class please ensure you cancel so someone from the wait-list can join. If cancellation occurs within 12 hours of the class, the credit will be deducted from your block.
We reserve the right to cancel any class that has very low numbers and will aim to give at least 12 hour notice for this if there is no other alternative that time slot.
We will advise any cancellation via email. It is the client’s responsibility to check their emails or online app to ensure the class is going ahead that day. If we cancel the class, the client will not lose a credit.
All information gathered from the initial sessions through filling out of our HEALTH SCREENING FORM or information given over the phone or through our website will be stored in Mind Body Software which is protected through passwords that are only given to the directors and key administrators. We ask that you update your current details if they change at any time.
Instructors for each classes will be able to access client information such as telephone numbers and emails so they can contact them for cancellations, delivery of programs and to view important health information. Instructors do not have any access to billing information.
We also as part of becoming a member of Body Fit Solutions agree to have your email used for communication so that we can remind you of class bookings, schedule changes or news about the studio. A Third party is used in Get Response to produce newsletters monthly for our company. All new clients will be automatically added to this list when they join. If you no longer wish to be part of our newsletter, which has valuable information for the success in our programs, tips and testimonials, you can choose to unsubscribe at any time.
It is in the interest of Body Fit solutions and its partners to keep all members safe and out of harms way to the best of our abilities. We require all new starters to fill out a health screening form prior to attending classes and without this we cannot allow participants to attend. If any injury or accident occurs in the studios it is the responsibility of the client to inform the directors of what happened.
